Privacy Policy
1. Who we are
This website is operated by Phoenix Field Medical, a company registered in England and Wales, UK Companies House number 17088489.
Phoenix Field Medical is the data controller for personal data submitted through this site. You can contact us about anything in this policy at info@phoenixfieldmedical.com.
2. What we collect
- Contact form. Your name, email address, subject and message, when you submit the enquiry form on our home page.
- Phoenix TRIAGE early-access list. Your name, work email, organisation, optionally your role and a short description of your recruitment challenge, plus a record of the consent wording you agreed to and when.
- Analytics data. Pages viewed, approximate location, device and browser type, collected via Google Analytics 4, and only if you accept analytics cookies. If you decline, no analytics data is collected at all.
- Server logs. Our hosting provider records standard technical information such as IP address and request times, for security and diagnostics. We do not use these logs to identify individual visitors.
We do not collect special category data, and we do not ask for it. Please do not include patient information or other confidential clinical data in a website form.
3. Why we process it, and our lawful basis
- To reply to your enquiry. Legitimate interests. You contacted us and expect a response.
- To contact you about Phoenix TRIAGE. Consent, given by ticking the box on the early-access form. You can withdraw it at any time.
- To understand how the site is used. Consent, given through the cookie banner.
- To keep the site secure and working. Legitimate interests.
4. The Phoenix TRIAGE early-access list
This list is separate from everything else we do and is worth stating plainly:
- It is used only to contact you about Phoenix TRIAGE.
- It is not a general mailing list and you will not be added to one.
- We do not sell, rent or share it with third parties.
- You can be removed at any time by emailing info@phoenixfieldmedical.com. No justification needed, and we will confirm once it is done.
5. Who else handles your data
We use a small number of third-party services to run this site:
- Formspree. Delivers form submissions to our inbox. Submissions pass through, and are retained by, Formspree's systems. Formspree, Inc. is based in the United States and processes data there, so anything you send through a form on this site is transferred to the US. See section 9.
- Google Analytics 4. Website analytics, consent-gated. Operated by Google LLC.
This policy covers the phoenixfieldmedical.com website only. The Phoenix TRIAGE product is a separate system with its own hosting and data-protection arrangements, which are not described here.
6. How long we keep it
Enquiries. We keep enquiries for as long as they remain relevant to an ongoing or prospective working relationship. We review what we hold at least once a year and delete anything no longer needed.
The TRIAGE early-access list. We keep your details until you ask to be removed. You can do that at any time, as set out in section 4, and we will confirm once it is done.
Analytics data. Google Analytics is set to retain user-level and event data for 14 months, after which it is deleted automatically. Aggregated reporting totals are not affected by this and are kept by Google indefinitely. Remember that none of this is collected at all unless you accept analytics cookies.
7. Cookies
We use one item of necessary browser storage to remember your cookie choice, and Google Analytics cookies only if you accept them. Full details, including names and durations, are in our Cookie Policy. You can change your choice at any time using the link in the footer.
8. Your rights
Under UK and EU data protection law you have the right to:
- Ask what personal data we hold about you, and get a copy of it
- Have inaccurate data corrected
- Have your data deleted
- Object to, or ask us to restrict, how we use it
- Withdraw consent at any time, where consent is our lawful basis
- Ask for your data in a portable format
To exercise any of these, email info@phoenixfieldmedical.com. We will respond within one month.
If you are not satisfied with our response, you can complain to the UK Information Commissioner's Office at ico.org.uk, or to your local supervisory authority if you are in the EU.
9. International transfers
Both of the services named in section 5 are operated by companies based in the United States. That means personal data you submit through a form on this site, and analytics data if you have accepted analytics cookies, is transferred outside the UK and EEA.
We rely on the protections each provider commits to in its own terms and privacy policy, and we keep the amount of personal data reaching them to the minimum the site needs to work. If you would rather not have your details transferred, contact us by email instead of using a form, and decline analytics cookies.
10. Changes to this policy
We may update this policy. The date at the top reflects the most recent revision. If we make a material change to how we use analytics, we will ask for your cookie choice again.
